Integrations Canvas Builder Feature Guide

Important:

The Canvas Builder feature is under Public Preview. Please contact OneTrust Support to request early access.

Overview

The new Canvas Builder for OneTrust Integrations introduces a modern, flowchart-style way to create, understand, and manage integrations, making automation more approachable for both technical teams and program managers. Instead of working through a primarily configuration-first experience like in the original Legacy Builder, users can now see their workflow come to life on a canvas, with triggers, actions, and sequencing presented in a clear visual layout.

Built to reduce time-to-value and increase confidence during setup, the Canvas Builder delivers three core experience upgrades:

  • Clearer workflow visualization with an optimized canvas layout that improves readability and makes it easier to understand how steps connect.

  • Faster navigation via zoom and pan controls, helping users comfortably work with workflows of any size.

  • Guided, step-by-step configuration for triggers and actions, supporting a broader set of users while keeping power and flexibility for advanced implementations.

  2. Search and select from our available systems. Click a system tile to enter the Gallery details screen.
  3. Browse the available seeded workflows and click the Add button.
  4. Provide a unique name, existing credentials, and notification email to confirm creation. screen appears.

    The Integration builder screen appears.

  5. On the right side of the screen is the Canvas builder setting. Click this to switch to the Canvas Builder experience.
    Note:

If you are creating integrations from the Gallery options in the future and have already enabled the Canvas Builder experience, the Canvas Builder will be the default view post creation.

  6. Click and drag inside the canvas to pan the workflow. Use the zoom options on the bottom left or your computer touchpad to adjust your view.

  7. The window in the bottom right will show you the current viewing window compared to the overall workflow canvas.

  8. Use the Fit View icon in the lower left to expand the canvas to fit the entire workflow.

  9. Use the Toggle interactivity icon in the lower left to lock actions from being moved on the canvas.

  10. Use the Format icon in the lower left to realign actions to the linear, top-down flow.

To create custom integrations using Canvas Builder

The following steps are for manually creating net new integrations. The Canvas Builder can be accessed from existing workflows created via the Legacy Builder experience in this same manner.

  1. On the Integrations menu, select Integrations.
    The Integrations screen appears.
  2. Click the Add integration button.
    On the Add Integration modal.
  3. Complete the required fields, then click the Add button.
The Integration builder screen appears with the legacy builder experience by default.
  4. On the right side of the screen is the Canvas builder setting. Click this to switch to the Canvas Builder experience.
    Note:

If you are creating custom integrations in the future and have already enabled the Canvas Builder experience, the Canvas Builder will be the default view post creation.

  5. The canvas will be blank and ready for you to configure the trigger that will launch the integration. Choose your trigger from the list on the right, where you can sort by OneTrust-based triggers (assessments, data subject requests, reports, etc.) or Built in triggers (scheduler, webhook, subflow).

  6. After you have selected a trigger, click the Add action option in the canvas to choose the first action in the workflow. Here you can choose the system, Generic OneTrust, or Logic-based actions.

    Action Type

    Description

    Generic

Focuses on system-based actions, like FTP file and HTTP request management. Often requires credentials to access third-party systems.

    OneTrust

Organized by OneTrust products, focuses on specific features and functionalities unique to each offering. Can require specific path parameters, JSON bodies, and IDs to specify criteria.

    Logic

Library of logic actions to work with data at volume or execute tasks, includes:

    • Condition

    • Apply to each

    • Email

    • Pagination

    • Create file

    • Parse file to list

    • Subflow

    • Do while loop

    • Data transformation

  7. As you add actions, the canvas will dynamically update with the visual workflow. Click on an action in the canvas to display options like edit, delete, or to add actions before or after.

  8. Clicking edit on an action will open a side pane where you can configure the Request and Response payloads, as well as determine your Settings for the given action. Use the selection field to switch between these views.

  9. The Request view allows you to provide details and context for the payload to plan to send with the action. Here you also have the ability to choose freemarker values using the icon next to fields like parameters, headings, or the request body.

Clicking this icon will expand the Add input pane, where you can choose values from either custom values or from other actions included in the workflow.

  10. In the Response view, you can specify the expected payload type and test actions with a sample body.

  11. The Settings view contains operational settings like error handling scenarios and encryption/decryption options for additional security measures. Choosing encryption or decryption will require the provision of an associated credential.

  12. Click the Save button to retain your configuration.
  13. When ready, click the Activate button to enable the integration for use.

Visualizing Use Cases in Canvas Builder

The following are some common (but not exclusive) integration use cases to help showcase the usability of the Canvas Builder. If you have questions or issues about your custom use case(s) while using the Canvas Builder, please contact your account representative.

Create Files

The Create File action in OneTrust Integrations is an effective way to automatically generate a file for business reporting needs. The following workflow samples a Privacy Rights Automation use case, where a file is created to share with existing system subtasks. As with the Legacy Builder, you will need to define parameters for the file like the name, format, delimiters, and columns.

Conditional Logic

The Condition action allows you to nest and stack logic with applicable operators to launch a specific workflow based on selected values. This can produce more granular results for an integration while condensing the length and complexity of a workflow. This is visualized in the Canvas Builder as a split of YES vs NO so you can configure sequence criteria and easily trace outcomes.

Apply to Each

Apply to Each logic allows the integration to automatically repeat a set of actions for every item in a list returned by a previous step. Instead of processing a single object (contact, record, etc.), the workflow loops through an array (such as multiple agents, models, or resources) and applies the same logic to each one individually. This is visualized as a loop that processes the list one item at a time, using the same actions and mappings for every entry. Each iteration works with its own copy of the data, ensuring that attributes are evaluated, mapped, and saved independently for each item rather than merged or overwritten.

FAQ

Who is the end user for the Canvas Builder?

The primary end users are novice or non‑technical users, especially program managers, along with our existing technical users (developers, technical consultants, IT admins, and partners).

What is the most important benefit for customers?

The biggest benefit is easier automation:

  • Non‑technical users get point‑and‑click configuration instead of needing to write or understand complex logic and templates.

  • Automation becomes more scalable, because more people (not just specialists) can create and maintain workflows.

  • This helps ensure that products which depend on automation can be implemented and expanded more quickly.

How does the Canvas Builder compare to the seeded Wizard integrations?

The Wizard integrations in our Gallery are great for quick, guided setup of common integrations.

  • Benefits: fast, tailored, minimal setup (credentials + mappings)

  • Tradeoff: if you need deeper customization, Wizards aren’t designed to be “opened up” and edited as a workflow. You typically need to create a workflow to go beyond the predefined path.

Canvas Builder is intended to bring a more visual, guided experience to workflows helping bridge ease-of-use with flexibility.

Can I use the Canvas Builder on my existing integrations I built using the Legacy Builder?

Yes, existing integrations are available for the Canvas Builder.

Is there a limit to the number of existing or new workflows that I can enable with the Canvas Builder?

There is no limit. All workflows are eligible for Canvas Builder.

If I enable the Canvas Builder for one workflow, does that automatically apply that view to all existing and new workflows?

Yes, once enabled, the Canvas Builder will be the default view for all workflows until it is disabled.

Is there a rendering impact or difference between the Legacy Builder and the Canvas Builder?

No, there is no notable impact on rendering or load time.

Is enabling Canvas Viewer restricted to specific user roles or permissions, or can any user enable it regardless of role?

Anyone who can access the Legacy Builder can enable/disable the Canvas Builder.

If I export a workflow while Canvas Builder is enabled, what is the expected builder experience when I import that workflow to another account?

This depends on the account receiving the import. If the Canvas Builder is enabled, the imported workflow will be displayed with the Canvas Builder. If disabled, the imported workflow will render in the Legacy Builder.
